Channel Partner Welcome Gifts & Onboarding Kits

Welcome a new reseller, distributor or referral partner with useful business items and clear onboarding materials. Build the kit around who receives it, how the brand is represented and how future partner batches will be supplied.

Product directions are reviewed for each order. MOQ, samples and packing are confirmed by specification.

What should go in a channel partner welcome kit?

Start with a useful item, such as a metal pen with its own case or a document folder and pen. Add an onboarding card, notebook or metal keychain when it supports the program. Confirm recipient tiers, company versus co-branding, quantity per batch and delivery locations before choosing the presentation pack.

Define the partner program before the kit

A partner welcome kit has a different job from a customer thank-you gift or merchandise purchased for resale. It should support the new business relationship. Specify whether the recipient is the partner owner, a sales contact or every member of a local team; those counts can change the order substantially.

  • Name the onboarding moment: a signed agreement, training session, launch meeting or regional event.
  • Separate the number of partner companies from the number of individual recipients.
  • Decide which onboarding documents and welcome message your team will supply.
  • Choose one approved brand presentation that can be repeated as new partners join.

These are proposed combinations. The final item list, exact models and approved packing reference are agreed for the project. Compare the folder-and-pen route if the main use is meetings and paperwork.

Set the co-branding rules once

Decide whether each item carries the supplier brand, the partner brand or both. A small pen barrel and a broad folder flap offer different artwork areas. Allocate the marks intentionally instead of forcing the full co-branded artwork onto every surface.

  • Name the owner and approver of each logo and obtain the current master file.
  • Allocate branding by surface: for example, one mark on a product and another on a welcome card.
  • Approve regional wording or partner-specific cards as separate versions.
  • State whether the pen case or outer pack needs a logo.
  • Review a proof at the intended size for legibility and reading direction.

Use the artwork handoff checklist and the metal-pen decoration comparison before releasing final artwork.

Plan the first batch and the next wave

A launch event and a steady stream of new partners need different packing and allocation decisions. Record quantities per kit version and destination. A shared product mix with replaceable cards can be a useful direction to review, subject to the selected models and packing.

Partner-program order brief
RecordWhy it matters
Recipient and kit versionDistinguishes an owner-level presentation from gifts for an entire local team.
Quantity per waveSeparates the initial launch order from later onboarding.
Brand and card versionKeeps regional and co-branded variants identifiable.
Packing and destinationDistinguishes office distribution, event handout and individual parcels.
Reorder referenceRecords model, artwork, arrangement and allowed substitutions.

Reorder availability and timing must be checked again. Keeping an approval record does not guarantee permanent stock or an unchanged material batch.

Approve the complete kit and the quote scope

Confirm what the sample covers: an undecorated item, a logo proof, a finished product or the complete packed kit. Review the folder with its intended documents and the pen in the approved reading direction. Check the loaded layout with any welcome card in place.

  • Agree items and quantities for each recipient version.
  • Review logo size, position and orientation on each surface.
  • Check item movement and removal from the loaded pack.
  • Compare setup, sample, packing and freight scope separately.

Gift-set planning often starts around 100 sets. Final MOQ depends on items, stock colors, logo work and packing; sample cost and schedule are confirmed for the selected route. Exact box dimensions are decided after the contents and layout.

Partner welcome gift questions

Is a partner kit the same as employee onboarding?

Partner kits may need co-branding, partner-specific cards and allocations by company or territory. Employee welcome kits normally follow the employer’s internal onboarding plan.

Can we begin with a pen rather than a large box?

A pen and individual case can be a starting direction. Confirm the model, decoration, quantity and packing before comparing it with a larger set.

Can a kit contain two company logos?

Co-branding can be reviewed, but space and artwork detail vary by product. Approve which mark goes on each item, case and card.

What is needed for a partner gift quotation?

Send recipient type, proposed items, quantities by batch or variant, artwork, packing preference, destination and arrival requirement. State whether the budget includes freight.
